PeterStar provides communication services based on modern digital technologies in Moscow, Murmansk, Velikiy Novgorod, Pskov, Kaliningrad, Petrozavodsk and Vyborg. The company’s clients include Sberbank RF, VneshtorgBank, Grand Hotel Europe, Radisson SAS Hotel. Situation
For many companies Microsoft technologies in the field of enterprise management are a corporate standard. Business of the companies develops constantly, which means growing functionality of information systems providing for the activities of enterprises. Another example of such practice is the project for the development of the automated Microsoft Dynamics ÀÕ management system at PeterStar. After having completed the automation of financial accounting tasks that were of priority at the time of implementation of the ERP-system, the company’s management made the decision to automate business processes that were left out “in the cold” during the first project. This is why the start of works on the development of a bookkeeping automation system was a necessary step in the company’s strategy. Choice of solution Having previously chosen Microsoft Dynamics AX as the business process automation tool, PeterStar received not only the possibility to efficiently manage finances, but also – a system, which will develop together with the company. After establishing the new optimization tasks, the operator was just left with the choice of the executor of works on developing the system in terms of bookkeeping. In the end GMCS became the partner for the implementation of the project. The key criteria was the substantial business expertise of GMCS in telecommunications. The company’s project portfolio includes successfully completed works at many telecom operators – such as Rostelecom, TransTeleCom, Petersburg Transit Telecom etc. moreover, GMCS disposes of an own development in the field of increasing the efficiency of telecommunication companies - GMCS Telecom. Solution The project was carried out in two stages and included development of an additional system functionality and direct implementation of this solution. During the works the following processes were automated: calculation of tax ledgers, running the budget of cash assets, the mechanisms of obtaining expanded routine reporting on all system modules. As part of the project for the actualization of these key areas of financial accounting in full compliance with legislative requirements not only standard functionality of Microsoft Dynacmics AX was used, but also GMCS’ own developments. This allowed PeterStar to take into consideration not only Russian and international requirements when forming consolidated statements, but also the changes in the Law on Communication and the specific nature of business in the telecommunications industry. For instance the functionality of the developed business application accounts for the particularities of classification of telecommunication equipment, that PeterStar specialists install for the company’s clients. Moreover, the operator’s client network keeps expanding, which contributes to the growing volumes and frequency of deliveries and shipping of equipment to and from the warehouse – thus complicating the movement of warehouse stock. This fact was taken into consideration during the implementation of the solution. And a possibility was introduced of quickly creating reports on the availability of stock in conditions of a significant number of conducted warehouse operations. In order to solve the issues of accounting for the large number of cash payments, GMCS Telecom includes various options of tying the payment accepting system with billing. Results The result of the project was the automation of key areas of financial accounting in the company: calculation of tax ledgers, running the budget of cash assets, the mechanisms of obtaining expanded routine reporting on all system modules. Reporting is produced in compliance to the new rules of VAT calculation and the latest changes in the Tax Code RF. Thanks to the specialized application by GMCS implemented based on the Microsoft Dynamics AX enterprise management system, implementation time was cut by 30%. Development and tuning of the new mutual VAT settlement options were conducted directly within the working system, thus ensuring continuity of the process of report preparation. Thanks to the expanded possibilities of the system and the subsequent automation of bookkeeping areas, just several months after the start of the project the fiscal year was closed and the annual tax report was prepared in compliance with the latest changes in legislation. Perspectives Currently modern bookkeeping tools have been implemented and are successfully used in the headquarters and Murmansk branch of PeterStar, thus helping the operator quickly react to changes in legislation. It is planned that automation of the remaining branches shall be the next step. Moreover, having received an efficient solution for the bookkeeping issue, PeterStar plans to expand the range of automated processes and proceed to solve new tasks of enterprise resource management.Projects
